Perform Access Code Lookup

The Access Code Lookup functionality allows you to search studies using the access code provided by the performing institution.

Note:

For your security and data safety, once the Access Code is successfully used to create a case, it will be deactivated.

To search studies by access code, follow the steps listed below.

  1. Click the Patient Access menu icon () on the left vertical pane.
  2. Click Recent Studies.

    This displays the recent studies in the case list.

  3. Click the Access Code Lookup button on the top of the study list.

    The Access Code Lookup pop-up window is displayed.

  4. Enter or select the search criteria.
    Note:

    The Last Name, Birthdate, Access Code and Site Name fields are mandatory.

    To search by

    Enter or select this information

    Last Name (required)

    Enter the patient's full last name.

    For example, enter "Carter" to search for a patient with last name as "Carter".

    First Name (optional)

    Enter the patient's full or partial first name.

    For example, enter "S" to search for a patient with first name as "Suzanna".

    Birthdate (required)

    In the Birthdate field, click the calendar icon. The calendar is displayed.

    • The current year and the current month are displayed by default. To customize the year, click the drop-down list next to the year and select the desired option. To customize the month, click the drop-down list next to the month and select the desired option.

      Note:

      You can also navigate between months by selecting the previous () or next () arrow.

    • Select the required date.

      Note:

      By default, today's date is preselected.

      Tip:

      To clear the date selection, click the cross () icon.

    Access Code (required)

    Enter the patient access code provided by the performing site.

    Site Name (required)

    Select the name of the performing site.

    Note:

    ll the sites associated with this instance of Patient Access portal are displayed in this drop-down list. When the access code you lookup doesn't belong to organization you enrolled in but nonetheless you add the study to your Recent Studies folder, then you are automatically granted access to the study in that organization whose site you have selected, and a message is displayed as "Your selection is associated with <Organization's Name>. To ensure compliance with <Organization’s Name> security requirements, please log out and log in again selecting <Organization’s Name> as the solution provider".

    Tip:

    Click Cancel to navigate back to the Access Code Lookup window.

    The selected study is added to Recent Studies list.

    Note:

    If a study already exists in Recent Studies list, the application displays the "Case already exists in recent studies" message, and the study is not added in the list.

    Note:

    If a case already exists, but new report(s) found and added to the case, then on clicking the Add to My Studies button, the following message is displayed:

    "Per your request a report have been successfully added to existing case # <case number>"

    If multiple studies are selected and new reports are added in each of the study, the following message is displayed:

    "Per your request a report have been successfully added to existing case(s) # <case numbers>"

  5. Click Search.
    Tip:

    Click Cancel to navigate back to the Recent Studies page.

    Note:

    If no records are found as per the entered criteria then the "No matching records found" message is displayed. If a study already exists in Recent Studies, the application displays the "Case already exists in recent studies" message and the study is not added to the list.

    Note:

    The Archive devices for which you have been assigned rights by the Site Admin will be queried for your defined condition.

    The Study List screen displays the search results as per the selected search criteria. It shows the Patient Name, Patient ID, Sex, Age, and DOB. The study displays Study Name, Study ID, Archive Name, Access Code, Modality, and Study Date.

    Note:

    If no studies are returned, the application displays the "No study(ies) found for patient: <Patient Name>" message. In case of a system error, the application displays the "An error occurred while retrieving the study, please try again" message.

  6. To select a study manually:
    1. Click the right part of the study line.

      The study will be highlighted with a frame.

    2. Click Add to My Studies.
    Tip:

    Click Cancel to navigate back to the Access Code Lookup window.

    The selected study is added to Recent Studies list.

    Note:

    If a study already exists in Recent Studies list, the application displays the "Case already exists in recent studies" message, and the study is not added in the list.

    Note:

    If a case already exists, but new report(s) found and added to the case, then on clicking the Add to My Studies button, the following message is displayed:

    "Per your request a report have been successfully added to existing case # <case number>"

    If multiple studies are selected and new reports are added in each of the study, the following message is displayed:

    "Per your request a report have been successfully added to existing case(s) # <case numbers>"
