Creating a New Case Routing Automation Instruction

  1. Click the icon on the title bar.
  2. Click Route Case Automation.
    The Routing Instruction List page is displayed.
  3. Click New Route Instructions.
    The Create Case Route Instruction page is displayed.
  4. Click the Billing Entity drop-down list.

    The organization name(s) is displayed in bold and it's associated sites are displayed below.

  5. Select the requested site.
  6. In the Route Instruction Details section, enter or select information as indicated in the table below:
    Note:

    All mandatory data entry fields have an asterisk (*) next to the label.

    Instruction Name

    Enter the instruction name.

    Note:

    Instruction Name should have minimum of 5 characters. This field is limited to 50 characters.

    Description

    Enter the required information for the instruction in the text box.

    Note:

    This field is limited to 200 characters. As the characters are added, it lowers the count of the number (200) present in the right corner. Once the characters exceed 150, the number in the right corner appears red.

    For

    The Myself check box is selected by default and it is non-editable.

  7. In the Case Details, enter information as indicated in the table below:

    You can share a case with a single person / group or with multiple people / groups. You can share a case with a combination of people and groups.

    To share a case with one person, enter the first name, last name, or email address of the person you wish to share the case.

    To share a case with one group, enter the name of the group you wish to share the case.

    If you wish to share the case with more than one person/group, separate each person's name or group's name with a comma.

    Note:
    1. The icon indicates an individual Healthcare Provider.
    2. The icon indicates a group.
    Tip:

    With the cursor in the text field, start typing the first name, last name, or an email address or the name of group to display a drop-down list showing all registered users from your contacts and all the groups that are of the same organization that you belongs to. You can select from this list.

    For example, enter "Su" to search for a recipient with a name as "Suzanna" or with a group' name as "Sunlight Team".

    Note:

    When no values are found matching your entry then the message is displayed as "No results found, please try again." When you enter the same recipient again then the message is displayed as "Recipient already selected." If you want to remove the selected recipient, then select "X" next to the recipient's name.

  8. In the Instruction Duration section, enter or select information in these three fields as indicated in the table below:

    This option is selected by default. It means this instruction will continue always without any limited period.

    Limited time period

    Select this option if you want the instruction to be applicable for a particular time duration.

    Note:

    Selecting this option enables Start Date/Time and End Date/Time fields. These fields allow you to set the start and end time for the instruction.

    Note:

    This field is enabled only when the Limited time period option is selected.

    Click the calendar icon () The calendar is displayed. Select the desired date.

    Note:

    To clear the date selection, click Clear.

    In the time field, select the time from the drop down list.

    Note:

    The Start Date and Time cannot be less than today's date and time.

  9. In the Filter Conditions section, select the Apply no conditions option if you don't want to apply any condition to this instruction. Select Apply Conditions to apply conditions to this instruction. The Condition 1 is displayed. You can select up to 3 conditions.
    1. Select DICOM tags from the drop-down list.

      The DICOM tags available for selection are - Modality, Modalities in Study, Name of Physicians Reading Study, Referring Physician Name, Study Description, Performing Physician Name, and Patient Age.

    2. Depending on the selected DICOM tag, different conditions states are available. Select one following condition state:

      IS

      The IS operator will match the Modality(ies) in the study with the selected modality(ies) in the Condition.

      For example, if the condition is set for Modality IS 'CT' , then for a study with modality of 'CT', the condition will be met. Whereas, if the condition is set for Modality IS 'CT' and 'MR', then for studies with multi modalities of CT and MR, the condition will be met.

      IS NOT

      The IS NOT operator will exclude the study(ies) that do not match the selected modality(ies).

      For example, if the condition is set for Modality IS NOT CT and MR, then for studies with modality of NM, the condition will be met. However, for a Study with modality of CT and MR, the condition will not be met. Also, for studies with modality of CT or MR, the condition will be met.

      INCLUDES

      The INCLUDES operator will match the study(ies) that include all of the selected modality(ies).

      For example, if the condition is set as "Modality INCLUDES CR, CT", then, any study having modalities CR, CT in addition to any other modality(ies) will be matched. However, any study having only CR modality or Only CT modality will NOT be matched.

      HAS THE WORD(S)

      The HAS THE WORD(S) operator will match the study(ies) with a study description containing the study description text entered in the input field.

      For example, if the condition is set for Study Description HAS THE WORD(S) “Fracture", then for any study with a study description Knee fracture, the condition will be met.

    3. Enter the value as per the selection in the Select DICOM Tags and Select Condition drop-down fields.

      • Enter the Referring Physician’s Name in the following format: Last Name, First Name, Middle Name (optional).
      • This field is limited to 64 characters.

      Performing Physician Name
      • Performing Physician name should not contain these characters - *, ?, ^, \.
      • Enter the Performing Physician’s Name in the following format: Last Name, First Name, Middle Name (optional).
      • This field is limited to 64 characters.
      Patient age
      • The patient age ranges that are available for selection: Under 18, 18-24, 25-34, 35-44, 45-54, 55-64, and 65 or above.
    4. The linking operators are placed in between the three conditions. Select these linking operators as indicated in the table below:

      Select the required linking operator option to link Condition 1 and Condition 2. The operators available for selection are AND and OR.

      Tip:

      Selecting AND, and creating the next condition makes it necessary to satisfy both the conditions to execute case automation query. Selecting OR and creating the next conditions satisfies any one of the conditions to execute case automation query.

      Linking Operator 2

      Select the required linking operator option to link Condition 2 and Condition 3. The operators available for selection are AND and OR.

      Tip:

      Selecting AND, and creating the next condition makes it necessary to satisfy both the conditions to execute case automation query. Selecting OR and creating the next conditions satisfies any one of the conditions to execute case automation query.

  10. In the Download To section, select the download options as follows:
    Note:

    When you don't have access to any PACS, then the Reconcile and download to PACS and Direct Download to PACS options, and their respective sections would be hidden and the Route To option will be selected by default.

    1. Select the Reconcile and download to PACS Reconcile and download to PACS option to reconcile the patient study information before downloading it to PACS.
      The Accession No. and Patient ID fields and available PACS becomes enabled.
    2. Enter the prefix and/or suffix for the Accession Number.
      Note:

      Prefix and Suffix can have maximum of 5 characters. Accession Number after reconciliation cannot exceed 16 characters; any values exceeding will not be applied. The Prefix and Suffix values can contain only alphanumeric and : " - / ( ) & characters.

    3. Enter the prefix and/or suffix for the Accession Number.
      Note:

      Prefix and Suffix can have maximum of 5 characters. Accession Number after reconciliation cannot exceed 16 characters; any values exceeding will not be applied. The Prefix and Suffix values can contain only alphanumeric and : " - / ( ) & characters.

    4. Select PACS.
      Note: Select the Select All check box to select all available PACS.
    5. Select Direct download to PACS option to directly download the patient study to the PACS.
      Available PACS become enabled.
    6. Select PACS for direct downloading.
      Note: Select the Select All check box to select all available PACS.
  11. Acknowledge your organization's policies and procedures for sharing Protected Health Information (PHI) by selecting the check box.
  12. Click Create
    Note:

    If you do not select any of the options in the Route To or Download To section and click the Create button, then following error message is displayed: "Please select one or more of the Routing actions below."

    If you do not enter the Accession No., Patient ID and neither select any of the PACS devices and click on Create then the following error message is displayed: "Please select one or more of the reconcile options below."

    The case routing automation instruction is created successfully and the following message is displayed "The Route instruction [NAME] has been successfully created."

    Note:

    If there is an error while creating a case routing automation instruction then the following error message is displayed "The Route instruction [NAME] could not be created. Please try again."

    The newly created instruction displays on the Routing Instruction List page with the Suspended status.
